What a strong supplier looks like

They answer questions with numbers. Ask what the foam density is, what the board grade is, what timber the frame uses, and a well run supplier gives you the figure straight away because they know their own product.

They are comfortable being inspected. Suppliers who work with export buyers regularly expect inspection before the balance payment and treat it as normal practice.

They put the detail on the invoice. Model, material, dimensions, packing method, production time and incoterm written down means everybody is agreeing to the same thing.

They keep a sealed sample. On contract work especially, a supplier who suggests this before you do is telling you they’ve done it properly before.

Questions worth asking in the first conversation

Which markets do you already export to? A supplier who has shipped to your destination will already hold the test data and know the documentation, which saves everybody weeks.

What’s stock and what is made to order? This changes your schedule more than the price does, and it’s often the deciding factor when a container booking is already made.

Can this ship knocked down? Detachable legs, separate table tops and flat packed wardrobes change how much fits in a container, and the answer is frequently yes when somebody asks.

What packing do you use for this model? Suppliers who take real care over packing are usually glad to be asked, and will send photographs.

Building the relationship is the actual work

Suppliers price differently for buyers they expect to see again, and that’s a rational response rather than a favour. Turning up when you said, sending the specification you promised and paying on schedule all make you a customer worth keeping.

Leave enough margin in the deal for the supplier to want your next order. It’s the most reliable quality control available, and it costs less than any inspection regime.

How many suppliers should I shortlist?

Four or five is a workable number for a first trip. It gives you comparable quotes without spreading your attention so thin that none of the conversations get anywhere.

Should I work with a factory or a showroom?

Both are legitimate and they suit different buyers. Showrooms in the halls hold stock and handle smaller quantities comfortably. Factories quoting production runs suit larger orders and bespoke specification. Match the choice to your volume rather than treating one as better.

Do Foshan suppliers speak English?
